Day Book Format for a Shop: Sample and How It Links to Your Ledger

A day book is your daily transaction register, the running record of everything that happened in your business that day, in the order it happened. For a shop, it is the diary you fill from open to close: sales, purchases, receipts, payments and credit notes, all in one place. This guide shows a day book format you can use, a sample, and how the day book connects to your ledger and khata.

What a day book is for

The day book is the first place a transaction is written down, so it is often called the book of original entry. Its job is to capture events fast and in sequence, before they get sorted into accounts. Because it is chronological, it is easy to reconstruct any day of trading, which helps during a GST query or a simple dispute with a customer.

The day book is broader than a cash book. A cash book only records cash and bank. A day book records those plus credit sales, credit purchases and adjustments, so it holds the full story of the day.

How the day book links to your ledger and khata

The day book is where entries begin; the ledger is where they get sorted by account. At the end of the day or week, you post each day book line to its ledger account. A cash sale goes to the sales account and the cash account. A credit sale goes to the sales account and the customer's account, which is that customer's khata. Once posted, the ledger totals build your reports. Sales and purchases roll up into your profit figure, and balances flow into the balance sheet. So a neat day book is the foundation of every report above it. Get the day book wrong and everything downstream is wrong too.
