What petty cash is
Petty cash is a small float of money, often kept in a separate box or drawer, used only for minor expenses that are too small to pay by cheque or bank transfer. The imprest system
The imprest system is the standard, sensible way to run petty cash. It works like this:
- You fix a float, say ₹2,000, and hand it to the petty cashier at the start of a period.
- The cashier pays small expenses from it and keeps a voucher or bill for each.
- At period end, you count what is left and reimburse exactly what was spent, topping the float back to ₹2,000.
The beauty of the imprest system is that the float plus the vouchers should always equal the fixed amount. If ₹1,400 is spent, the box holds ₹600 in cash and ₹1,400 in vouchers, together ₹2,000. Any gap is caught immediately.
