How to Track Customer Payments and Dues: A Practical Guide for Indian Businesses
Why tracking payments is the difference between profit and stress
You can be busy, sell a lot, and still be short of cash. It happens when your money is sitting in other people's pockets. A customer took goods on udhaar, another paid half, a third promised "next week" a month ago. If you are running these figures from memory or a torn diary, some of that money quietly never comes back. Tracking payments is simply knowing, at any moment, who owes you what and since when.
The good news is you do not need an accountant or complicated software. You need one honest record of every sale and every payment, and a habit of chasing dues before they go stale. This guide shows you how to set that up, step by step, using a digital khata instead of the old paper bahi.
Step by step: set up payment tracking
Do these in order and within a week you will see your real position clearly:
- Step 1: Make a party ledger for each customer. One card per customer with their name and number, so every sale and payment for them sits in one place.
- Step 2: Record every sale, cash or udhaar. When goods go out, enter the amount. If it is on credit, the balance shows as owed. If paid, mark it paid.
- Step 3: Enter every payment received. Part payment, full payment or advance, log it against the right customer so the balance updates instantly.
- Step 4: Watch the running balance. Each customer card shows a clear "you get" or "you gave" figure. No adding up at month end.
- Step 5: Set due dates on credit sales. "Payment due in 15 days." The app then knows which dues have crossed the line.
- Step 6: Send reminders on overdue dues. A polite WhatsApp nudge with the balance and a UPI link, sent on time, gets you paid faster.

The rules that keep your money moving
Tracking is only half the job. These simple habits are what actually recover the money:
- Set clear terms upfront. Tell the customer "15 days credit" at the time of sale, not when you chase them.
- Send the reminder before it is very late. A nudge at day 15 works far better than a fight at day 60.
- Keep the tone friendly but firm. "Namaste, a gentle reminder that 4,500 is due against bill INV-221. Here is a UPI link to pay." No arguments, just the fact and an easy way to pay.
- Make paying easy. Always attach a UPI link. The less friction, the faster the money lands.
- Share the statement. If a customer disputes, send their full ledger so both sides see the same numbers.
Old dues get harder to recover
A due at 15 days is a reminder. A due at 90 days is a problem. The longer money sits out, the more customers treat it as forgotten. Chase early and politely, and you will recover a far bigger share of what you are owed.Reminders do the chasing for you
The part that changes everything is automatic reminders. Instead of remembering who to call, the app tells you which dues are overdue and lets you send a WhatsApp message with the balance and a payment link. Our guide on the payment reminder system goes deep on how to set the timing and tone. When the customer pays, you can instantly issue the receipt or the next GST invoice from the same screen.
Because your customers already reply there, running this on WhatsApp gets the best response. See the full pricing, which is free for the core khata and billing, and the features to see how sales, dues and reminders join up.
This is one of a set of how-tos. To bill cleanly in the first place, read how to send an invoice on WhatsApp and how to make a quotation. If you sell goods, controlling stock also protects your cash, so read how to manage inventory for a small business.
