How to Send an Invoice on WhatsApp: A Step-by-Step Guide for Indian Businesses
Why WhatsApp is the fastest way to send an invoice in India
Your customer already has WhatsApp open. They reply to it faster than email, faster than a phone call, and they never miss the notification. So when you finish a job or hand over goods, the quickest way to get your bill in front of them is to send the invoice on the same WhatsApp thread you already use to chat. No printing, no scanning, no "please share your email" back and forth.
The trick is to send a proper GST invoice, not a photo of a handwritten bill. A real invoice has your GSTIN, an invoice number, the correct tax split, and a total the customer can trust. When you attach a UPI payment link to it, many customers pay within minutes because paying is one tap away. This guide walks you through the whole thing, step by step.
What you need before you start
You do not need much. Get these three things ready and the rest takes two minutes:
- Your business details. Name, address, and GSTIN if you are GST registered. This sits at the top of every invoice.
- A billing app. A free GST billing software that makes a clean PDF and calculates tax for you, so you are not doing maths on a calculator.
- The customer's WhatsApp number. The same number you have been chatting on works fine.
Step by step: create and send the invoice
Follow these steps in order and you will have the bill in your customer's chat before they leave the shop.
- Step 1: Add the customer. Open your billing app and add the customer with their name and number. Save it once and it is there for every future bill.
- Step 2: Add the items. Pick each product or service, set the quantity and rate. The app pulls the GST rate for you, so the tax is correct without guesswork.
- Step 3: Check the tax split. For a customer in your own state you get CGST plus SGST. For another state you get IGST. The app decides this from the place of supply, so you do not have to.
- Step 4: Generate the invoice. The app creates a numbered PDF with your GSTIN, the line items, tax, and the total in rupees.
- Step 5: Attach a UPI link. Turn on the payment link so the customer can pay by UPI straight from the invoice. This one step is what turns a bill into money.
- Step 6: Tap "Send on WhatsApp". The app opens the customer's chat with the PDF and a short message ready to go. Hit send.

Make sure the invoice looks professional
A sloppy bill makes customers hesitate. A clean one gets paid. Keep these on every invoice you send:
- A running invoice number. INV-2026-0042 style, never repeated. GST rules need this and it keeps your books tidy.
- Your GSTIN and the customer's GSTIN when both are registered, so they can claim input credit.
- The correct HSN or SAC code for your goods or services.
- A clear tax breakup showing CGST, SGST or IGST separately, not just one lumped figure.
- The total in words and figures so there is no confusion.

Do not send a screenshot as your invoice
A photo of a bill is not a valid tax invoice and cannot be edited if you made a mistake. Always send the PDF from your billing app. It carries the invoice number, GSTIN and tax split that make it a legal document.Get paid, then follow up in the same chat
The real win with WhatsApp billing is that everything lives in one thread. You send the invoice, the customer pays by UPI, and if they do not, you send a gentle nudge without opening another app. A good payment reminder system does this for you automatically.
